Question
How to find duplicate payments, and get the money back
Paying the same supplier twice is one of the most common ways small businesses lose money without noticing. The supplier rarely points it out.
How it happens
- An invoice and its reminder are both paid
- A card payment and a bank transfer cover the same bill
- Two people pay the same invoice
- An invoice is entered twice in the accounting system
How to find them
Sort a few months of payments by supplier, then by amount. Look for the same amount to the same supplier within a few days of each other, and check each pair against the invoices.
Getting it back
Ask the supplier, with the dates and amounts, to refund the duplicate or hold it as a credit against the next invoice. A short, polite note with the evidence usually settles it.

Questions
- Is every repeated amount a duplicate?
- No. Weekly or monthly charges repeat by design. A duplicate is the same payment made twice for one bill: always check against the invoices.
